Why onboarding is critical for long-term success

Rolling out a new HR and payroll platform is never just about technology, it’s about people, trust, and enabling teams to feel confident using a new system that touches every employee. That’s exactly why Yomly’s onboarding approach is designed to be collaborative, structured, and highly practical. Recently, our team had the pleasure of onboarding Gulf Cryo onto the Yomly platform, culminating in a successful Go-Live event held at Gulf Cryo’s office, where teams gathered for hands-on training, a live platform demo, and an open Q&A session.

This milestone marked the official start of a new chapter for Gulf Cryo: a smarter, faster, and more streamlined way to manage HR operations and payroll processes. HR & payroll transformation isn’t simply “switching systems.” It often involves:

Before the Go-Live event, the Yomly and Gulf Cryo teams aligned on all key rollout elements, including:

  • Platform configuration to match internal HR and payroll processes
  • User access levels and role-based permissions
  • Key workflows and approvals
  • Data readiness and system validation

This stage is crucial, as it ensures that the platform isn’t just “installed,” but actually aligned with how the organization operates. During onboarding, we work closely with the client team to answer practical questions early, such as:

  • How will HR requests flow between departments?
  • How are approvals structured?
  • Who needs access to what?
  • What does the employee experience look like?

Step 2: Configuring Yomly to reflect Gulf Cryo’s workflows

Every organization has unique internal structures, and Gulf Cryo is no different. One of the most valuable aspects of onboarding is ensuring that the platform reflects real operational needs. This includes configuring items such as:

  • Employee master data structure
  • Departmental reporting lines
  • HR policy rules and requests
  • Document templates and standardized forms
  • Workflows for HR actions
  • Payroll-linked data fields (where applicable)

Step 3: The Go-Live event training, live demo, and Q&A

The highlight of this rollout was the Go-Live event at Gulf Cryo’s office, where teams attended an in-person session led by Yomly. The day was structured around what matters most when launching a new platform: clarity and confidence.

Our team walked Gulf Cryo through a live demo of the Yomly platform, covering the day-to-day actions users need most, including:

  • Navigating the platform interface
  • Employee profile views and data access
  • Core HR actions and requests
  • Manager workflows and approvals
  • Reporting visibility and key dashboards

This was designed not only to show the system, but to demonstrate how it supports real HR operations.

Practical training for real users

Training is most effective when it is grounded in reality, so rather than simply listing features, we walked teams through real-life scenarios and the steps they would take in the platform. This included use cases like:

  • Submitting HR requests correctly
  • Updating employee information
  • Tracking request statuses
  • Completing approval flows
  • Managing employee documents

High engagement and questions

One of the best signs of a successful onboarding session is an engaged audience, and Gulf Cryo’s team brought exactly that. To ensure the entire organization could participate, Yomly conducted two Go-Live enablement sessions on the 20th and the 27th, following the same interactive format for both sessions.

Across both sessions, engagement was strong, with approximately 30 attendees onsite and around 580 participants joining online, demonstrating clear enthusiasm and readiness across the wider team to adopt the platform. The Q&A portion was especially valuable, with teams raising thoughtful, practical questions that reflected real day-to-day operational needs. Topics included:

  • How to submit multiple expenses in one go, how to correctly attach receipts, and understanding the expense submission cut-off

     

  • Questions related to mobile app login and troubleshooting access

     

  • How managers can apply leave on behalf of their direct reports and how approvals work in different scenarios

     

  • “What happens if…” situations and workflow edge cases

     

  • Clarifying user responsibilities across HR, managers, and employees

     

  • Operational best practices to reduce mistakes and improve speed

     

  • How to get the most value from Yomly quickly after Go-Live

This open dialogue is critical to long-term success: it strengthens user confidence, reduces friction post-launch, and ensures teams align on consistent ways of working, ultimately driving faster adoption and better HR operational outcomes.

Step 4: Post Go-Live support and continuous enablement

Go-Live isn’t the finish line, it’s the beginning of operational adoption. Following the event, Yomly continues to support Gulf Cryo with:

  • Structured check-ins with key stakeholders
  • Ongoing user support and troubleshooting
  • Adoption tracking and process optimization
  • Additional training as teams expand usage

This ensures the platform remains a long-term operational asset, not just a software tool.
